What does IT hardware procurement from Preferred Data include?
We choose the right equipment for how each person and site works, quote it item by item in writing, order it, set it up and install it. Hardware is a one-time, itemized purchase quoted separately from your monthly plan, and for managed clients it is covered under that plan from the day it goes in, as listed on our pricing page.
- Business laptops, desktops and workstations, matched to the role rather than the catalog
- Servers and storage, sized for the applications and data they will carry
- Firewalls, switches and wireless access points, designed by our network infrastructure team
- Setup and deployment: accounts, security tools and updates configured before your people use the equipment
- Lifecycle guidance on warranties, refresh timing and retiring old equipment
Key takeaway: Good procurement is mostly specification: the cheapest machine that fails its job, or the fastest one nobody needed, both cost more than the right one.
Why buy business computers through an IT provider instead of retail?
Retail and online stores often sell consumer-grade configurations and leave setup, security and support to you. An IT provider specifies business-grade equipment, prepares it before your employee touches it and supports it afterward. For a manufacturer, the difference shows up the day a laptop has to join the domain, run the ERP client and pass a cyber-insurance questionnaire.

Do our computers need to be replaced for Windows 11?
Only if they cannot run it. Windows 10 reached end of support on October 14, 2025, according to Microsoft, and Windows 11 requires a compatible 64-bit processor, 4 GB of memory, 64 GB of storage, UEFI Secure Boot and a TPM 2.0 security chip, per Microsoft's published requirements. Machines that fail those checks need replacing, not upgrading.
Businesses can buy time with Extended Security Updates, but it gets expensive fast. Microsoft prices commercial ESU at $61 per device for year one, doubles the price each following year, and stops after three years. Unpatched machines are a real exposure: in the 2026 Verizon Data Breach Investigations Report, 31% of breaches started with exploitation of a vulnerability, now the top way in.
For a device-by-device plan, read our guides to the Windows 10 ESU year two deadline and moving small businesses to Windows 11.
Key takeaway: Check every PC against the Windows 11 requirements first. Replace only what fails, and plan the rest of the refresh around warranties and budget.
How much should a small business budget for IT hardware in 2026?
Budget more for servers and memory than you did two years ago, and order earlier. TrendForce forecast in July 2026 that server DRAM contract prices would rise another 13% to 18% quarter over quarter in the third quarter of 2026.
Preferred Data does not publish hardware prices because they move with the market and with each configuration; every quote is itemized in writing so you can see exactly what each line costs before you commit. We explain what is driving prices, and how to plan around it, in smarter IT hardware buying during the 2026 memory crunch.
Servers deserve their own plan. Microsoft ends extended support for Windows Server 2016 on January 12, 2027, so a server bought for that release is due for replacement or migration now. See our Windows Server 2016 migration playbook or ask about cloud solutions if the workload no longer needs to live in your building.
Can Preferred Data finance business computer purchases?
Yes. Every Preferred Plan, starting with Preferred Essentials, includes equipment financing we can arrange for you, as listed on our pricing page. It lets you spread a refresh over time instead of paying for every laptop and server at once.
Ask about financing when you request a hardware quote, and we will explain the options before you commit. If you are not a managed client yet, ask anyway and we will tell you what is available.
What happens to our old computers and drives?
Old drives hold customer, payroll and financial data long after a machine stops being useful, so they need to be sanitized before the equipment leaves your control. The reference standard is NIST Special Publication 800-88 Revision 2, published in September 2025, which sets out sanitization and disposal techniques based on how sensitive the information is.
- Move data off the old device and confirm it is readable on the new one before anything is wiped
- Remove the device from your accounts, security tools and management console so it stops being a way in
- Decide how each drive will be sanitized, or kept, based on the data it held
- Keep a simple record of what was retired and when, for insurance and audit questions
Where does Preferred Data deliver and install hardware?
Preferred Data is based at 1208 Eastchester Drive in High Point and installs equipment on-site within 200 miles of the office. That covers the Piedmont Triad, Charlotte, Raleigh and most of North Carolina.
Hardware procurement questions we hear most
Where should a small business in North Carolina buy business computers?
Buy from someone who will specify, set up and support the equipment, not just ship it. Preferred Data chooses business-grade laptops, desktops and servers for how each person works, itemizes the quote in writing, and installs on-site within 200 miles of High Point. Call (336) 886-3282 for a quote.
Do you sell hardware to businesses that are not managed IT clients?
Yes. Hardware is a one-time, itemized purchase quoted separately from our monthly plans. Managed clients get the added benefit that new equipment is covered under their plan from the day it is installed.
Can you set up new computers before they arrive?
Yes. We configure new equipment with your accounts, security tools and updates before it goes into use, and install it on-site within 200 miles of High Point. Setup is quoted in writing before the work starts.
Is equipment financing available?
Yes. Equipment financing we can arrange for you is included in every Preferred Plan, starting with Preferred Essentials. Ask about it with your hardware quote and we will explain the options before you commit.
Should we replace Windows 10 computers or pay for Extended Security Updates?
Replace any PC that cannot run Windows 11, and upgrade the ones that can. Microsoft charges $61 per device for the first year of commercial Extended Security Updates, doubles it each year and stops after three years, so ESU is a short bridge, not a plan.
Which hardware brands do you work with?
We specify business-grade equipment from established manufacturers and choose the model for the job, the environment and the support it will need, rather than pushing one brand. Your quote names every make and model before you buy.
How far ahead should we order servers and laptops?
Earlier than you used to. Server memory prices have climbed through 2026, so plan a server replacement months ahead and a laptop refresh at least a few weeks ahead. We build the timing into your refresh plan so nothing is bought in a panic.
